Why you’re getting “enquiries” but no one answers the phone or replies to emails

Enquiries but no replies

Table of Contents

Whether you’re a marketing manager or a business owner, seeing a healthy lead flow on the dashboard when your income says otherwise produces a high-pressure anxiety that’s difficult to ignore. You may have invested in your marketing budget and created a solid Google Ads campaign, but despite the steady stream of new enquiry notifications in your inbox, your phones are silent, and your inbox isn’t pinging with replies.

The issue isn’t a lead generation issue; it’s a revenue leakage issue, and it’s putting your revenue targets at risk. Here, we equip you with the tools to diagnose why your active enquiries appear to be ghosting you and provide the solution with fast-moving fixes.

Speed to Lead

If someone looks for a solution to their problem today, they’re under pressure and likely contacting multiple vendors. They may be juggling several open browser tabs, which suggests the need for speed. According to research from Lead Response Management, you are 100 times more likely to receive a response by reaching out within 5 minutes rather than 30. A 25-minute delay in your response could be the reason your leads are ghosting because your competition responded faster.

The Quick Fix

There are two quick solutions to address this issue. The first is an auto-response that extends beyond “thank you for your interest.” Auto-respond with a text or email acknowledging the receipt of their enquiry, explain you’re gathering the information they requested, and close with permission to call in the next 5 minutes. It’s quick and effective.

The second is a lead-to-call automation tool that immediately triggers a call to the sales team when someone submits a form.

Call Screening

This challenge is two-fold because as spam calls continue to rise, people choose to screen their calls with many now using an AI tool to do so. Whether you’re calling from an Unknown or withheld number, there’s a good chance that a high-intent lead isn’t ignoring you specifically; rather, they are avoiding spam calls. With revenue down, you may be motivated to dial harder, but your contact rate will only drop further if you call from a number prospects don’t recognise.

The Quick Fix

There are two ways you can address this. The quickest fix is to ensure all of your business numbers are registered to ensure your business name appears when you make calls. You can also send a warm-up text to let them know you’re about to call, increasing the likelihood they will answer.

Enquiries but no replies

Lookers Versus Buyers

Many companies make a serious error in an attempt to hit their lead targets, loosening up on ad criteria in the hopes that it will make a difference. While that might increase your lead generation, you may attract more lookers without netting more buyers. For example, providing a free report will capture interest from a different audience than the audience drawn to a request a quote button.

The Quick Fix

Use automated emails to nurture the lookers and focus your sales calls on those bottom-of-the-funnel quote requests instead. It will save you time and money by focusing your heavy hitters where they matter most. Take the steps to clarify your call to action. Rather than using a get in touch or request a quote button, try a landing page that explicitly states that form submission is followed by a discovery call.

The Spam Trap

If you’re sending emails that go unanswered, don’t jump to conclusions. There is a good chance they were gobbled up by aggressive modern spam filters. There are a few different reasons for this, and the first is an unauthenticated domain. However, it isn’t the only problem; your email might contain too many sales trigger words, links, or images, and that personalised quote you sent bypasses the main inbox.

The Quick Fix

The quickest fix is stripping the flashy HTML template for your initial reply. It should be a short, plain-text email that genuinely reads as if it came from a human rather than a marketing machine.

The second fix, a more aggressive approach, is to follow up if you don’t get a response within four hours. When the four hours are up, send a follow-up through another contact channel.

Message Misalignment

If enquiries have dropped off, then you’re facing a message misalignment problem. The ad and the landing page don’t align because someone who clicks on an emergency plumbing service doesn’t want to land on a page for general services.

The Quick Fix

Review your headline to ensure your landing page headline mirrors the keyword users searched. If you’re dealing with revenue issues, reduce the amount of information your contact form requires. You need to capture the basics, such as contact name, phone number, and email, but the rest of those fields may put a high-intent user off.

Cold Feet

High-intent buyers can also be risk-averse. While they’re ready to spend money, they’re scared of making the wrong choice. Many high-intent buyers require social proof, such as case studies, human faces, and visible customer reviews, to nurture trust.

The Quick Fix

The quickest fix is redirecting the user once they’ve submitted the form, taking them to a thank-you video from the owner, founder, or manager who thanks them for their interest and explains the next steps to help build trust.

Reduce Ghosted Enquiries

If you’re experiencing these issues, it’s unlikely the problem is with your traffic; it’s most likely a process problem. However, you can learn a lot by reviewing your micro-conversation rates. If it’s low enquiry and high traffic, that’s a landing page or traffic quality problem. If it’s a low contact rate and high enquiries, it’s a speed-to-lead problem. As for low sales and a high contact rate, it might be a problem with your offer or the sales script.

Don’t pour more money into the top of the funnel if your pipeline slows. Instead, repair the holes in the middle of your funnel by increasing your speed-to-lead, warm-up calls, and ensuring your message, brand, and promises align. It won’t take long before those ghost leads turn around and you start more revenue-generating discussions.
